1. GIFT VOUCHER TERMS & CONDITIONS
This section is most relevant to:
Gift vouchers, voucher order confirmations, voucher invoices, voucher cards, voucher inserts, and voucher redemption documents.
Gift Voucher Terms
- Gift vouchers are issued as fixed rand-value credits.
- The voucher value remains fixed at the amount purchased and may be used as full or partial payment toward eligible products or services from The Bottled Garden.
- Gift vouchers may be redeemed toward indoor plants, stocked terrariums, mossariums, micro-sized builds, accessory products, local delivery where specifically confirmed, or a future custom terrarium design and build quote.
- Gift vouchers are valid for 3 years from the date of issue, unless fully redeemed earlier.
- Gift vouchers are not redeemable for cash and no cash balance will be paid out.
- Any unused voucher balance will remain available until the voucher expires, unless otherwise agreed in writing.
- Product pricing, custom build pricing, plant availability, vessel availability, material availability, delivery, courier and shipping costs are determined at the time of redemption.
- If the chosen product, order, or custom build exceeds the voucher value, the balance is payable by the customer before the order is confirmed or work begins.
- Delivery, courier and shipping costs are excluded unless specifically confirmed in writing.
- Redemption is subject to product, plant, vessel, material, and service availability at the time of enquiry or order confirmation.
- The Bottled Garden may recommend substitutions where plants, vessels, hardscape, materials, or accessories are unavailable or unsuitable.
- Vouchers may not be used for products, services, locations, delivery methods, or custom designs that The Bottled Garden considers unsuitable, unsafe, unavailable, or not aligned with the long-term health of a living product.
- The voucher holder is responsible for keeping the voucher details safe. Lost or damaged vouchers may only be reissued or honoured where The Bottled Garden can reasonably verify the original purchase and unused balance.
- Once a voucher is redeemed against a product, order, or service, the relevant product-specific or service-specific Terms & Conditions will apply.
2. QUOTATION TERMS & CONDITIONS
This section is most relevant to: All quotes, including plant quotes, product quotes, service quotes, delivery quotes, accessory quotes, and custom terrarium quotes.
Quotation Terms
- This quote is valid for [7 / 10] days from the prepared date unless otherwise stated.
- Prices, stock availability, plant availability, vessel availability, materials, delivery fees, courier fees, and timelines may change after the quote expiry date.
- A quote does not reserve stock, plants, vessels, materials, delivery capacity, or production time unless this is specifically confirmed in writing.
- Orders are confirmed only once the quote has been accepted and payment, part-payment, or the required deposit has been received.
- Payment of a quote confirms acceptance of the quote details and The Bottled Garden’s applicable Terms & Conditions.
- Any changes requested after a quote has been issued may affect the price, availability, delivery cost, and timeline.
- If a quoted item becomes unavailable before payment or order confirmation, The Bottled Garden may recommend a suitable alternative or issue an updated quote.
- Delivery, courier and shipping costs are excluded unless specifically included on the quote.
- Images, examples, references, mood boards, product photos, or previous builds are used for guidance only. Living products, plants, natural materials, and custom work may vary.
- Refunds, returns, replacements, or credits are handled in accordance with applicable South African consumer protection laws and the product-specific Terms & Conditions relevant to the order.
3. ORDER CONFIRMATION TERMS & CONDITIONS
This section is most relevant to: All order confirmations, whether for plants, accessories, vouchers, stocked terrariums, custom terrarium orders, or mixed orders.
Order Confirmation Terms
- An order is confirmed once The Bottled Garden has issued an order confirmation and received the required payment, part-payment, or deposit.
- The order confirmation records the agreed product, service, quantity, price, delivery or collection method, and any specific notes agreed at the time of confirmation.
- The customer is responsible for checking the order confirmation and notifying The Bottled Garden promptly of any errors or missing details.
- Once an order is confirmed, changes may not always be possible. Where changes are possible, they may affect pricing, preparation time, sourcing, delivery, collection, or dispatch.
- Product availability, plant condition, and delivery timing are managed with care, but plants and living products remain subject to natural variation, seasonal availability, and environmental sensitivity.
- Orders requiring preparation, printing, sourcing, potting, design, build work, packaging, or delivery will only begin once the required payment or deposit has been received.
- Delivery, courier, shipping, and collection details must be confirmed before dispatch or handover.
- The Bottled Garden is not responsible for delays caused by incorrect customer details, late payment, delayed proof of payment, unavailable recipients, courier delays, unsafe delivery conditions, or circumstances outside reasonable control.
- Orders confirmed as ready but not collected within 30 days of readiness notification may incur reasonable care, maintenance, accommodation, or storage charges where living products continue to require care.
- Payment of the order confirms acceptance of the order details and the applicable Terms & Conditions.
4. INVOICE TERMS & CONDITIONS
This section is most relevant to: All invoices, including invoices for plants, vouchers, accessories, stocked terrariums, services, and custom terrarium orders.
Invoice Terms
- Payment is due by the date stated on the invoice.
- Orders, preparation, sourcing, design work, printing, delivery, collection, dispatch, or custom build work may be withheld until the required payment, part-payment, or deposit has been received.
- If payment is made from a different bank, proof of payment may be required before preparation, release, delivery, or dispatch.
- The customer must use the invoice number, order number, or customer name as payment reference.
- The Bottled Garden is not liable for delays caused by incorrect payment references, missing proof of payment, delayed bank clearance, or incomplete customer information.
- Ownership of products remains with The Bottled Garden until payment has been received in full, unless otherwise agreed in writing.
- For custom orders, deposits may be used for sourcing, materials, design preparation, plant preparation, labour scheduling, and other order-specific costs.
- Where an invoice relates to a gift voucher, the voucher value is fixed at the amount purchased and is subject to the Gift Voucher Terms & Conditions.
- Where an invoice relates to plants, living products, terrariums, or custom terrarium work, the relevant product-specific or service-specific Terms & Conditions apply.
- Refunds, returns, replacements, or credits are handled in accordance with applicable South African consumer protection laws and The Bottled Garden’s applicable Terms & Conditions.
5. PLANT PRODUCT TERMS & CONDITIONS
This section is most relevant to: Indoor plant orders, plant invoices, plant order confirmations, plant delivery notes, plant product pages, plant collection notes, and plant courier notes.
Plant Product Terms
- Plants are living products and each plant is naturally unique.
- Variations in growth, colour, size, shape, leaf markings, leaf maturity, variegation, growth direction, minor cosmetic marks, and natural ageing are normal and do not automatically constitute defects.
- Product photos are used as a guide. The exact plant supplied may vary unless the specific plant has been individually selected and confirmed.
- The Bottled Garden takes care to supply plants that are reasonably healthy and suitable for sale at the time of dispatch, delivery, or collection.
- Plants may experience temporary stress after transport, delivery, repotting, environmental change, or relocation. This may include minor leaf drooping, slight yellowing of older leaves, disturbed soil, or adjustment-related changes.
- The customer is responsible for placing the plant in a suitable environment after delivery or collection, including appropriate light, watering, airflow, humidity, temperature, and drainage.
- Care guidance is provided as general support. Plant care outcomes depend on the customer’s environment and ongoing care after handover.
- Plants must not be left in standing water unless specifically instructed.
- Plants should be protected from harsh direct sun, cold drafts, strong air-conditioning, heaters, and unsuitable placement unless the species specifically tolerates those conditions.
- Pet safety information is provided where possible, but customers are responsible for keeping plants away from pets, children, or vulnerable persons where ingestion or contact may be a concern.
- If a plant arrives dead, severely damaged, or materially compromised, the customer must notify The Bottled Garden within 24 hours of delivery or collection with clear photos of the plant, pot, packaging, and delivery label where applicable.
- Claims reported after 24 hours may not qualify for review where the condition may have been affected by placement, unpacking, watering, heat, cold, neglect, or handling after delivery.
- Minor cosmetic damage, small leaf marks, one or two ageing leaves, slight soil disturbance, or temporary transport stress will not automatically qualify for refund, replacement, or credit.
- The Bottled Garden will assess valid concerns and may offer care guidance, replacement, repair support, store credit, or another appropriate remedy depending on the situation.
- Refunds, returns, replacements, or credits are handled in accordance with applicable South African consumer protection laws.
6. CUSTOM TERRARIUM TERMS & CONDITIONS
This section is most relevant to: Custom terrarium quotes, custom terrarium invoices, custom terrarium order confirmations, custom terrarium proposal documents, design sign-off forms, and custom build delivery notes.
Custom Terrarium Terms
- Custom terrariums are individually designed living systems and are quoted according to size, vessel selection, plants, moss, hardscape, substrate, materials, design complexity, sourcing needs, labour, delivery, and any special requirements.
- Custom terrarium work begins only once the quote has been accepted and the required deposit or payment has been received.
- Custom terrarium builds may require a materials and sourcing deposit before sourcing, design finalisation, plant preparation, or build commencement.
- The remaining balance is payable before collection, delivery, courier, dispatch, or handover.
- One [30-minute / 45-minute] design discovery consultation and up to two design revisions are included where specifically stated on the quote.
- Additional consultations are billed at [insert rate] per [15-minute / 30-minute] session.
- Additional design proposal revisions beyond what is included are billed at [insert rate] each.
- The customer may provide preferences, inspiration images, vessel ideas, plant preferences, colour direction, and placement information. The final design must also consider plant suitability, light, humidity, airflow, vessel size, and the long-term health of the living system.
- The Bottled Garden reserves the right to decline, adjust, or recommend alternatives to a requested design, plant selection, vessel, or placement where it is considered unsuitable for the health, safety, stability, or longevity of the terrarium.
- Custom terrariums may differ from reference images, previous builds, inspiration photos, sketches, or conceptual examples. Natural materials and living plants cannot be duplicated exactly.
- Plants, moss, hardscape, vessels, and materials are subject to availability and seasonality. The Bottled Garden may recommend substitutions where needed and will aim to match the original direction in style, suitability, and quality.
- Estimated timelines are confirmed in the quote, design proposal, or order confirmation. Timelines may change due to plant availability, material availability, sourcing delays, settling requirements, customer changes, payment delays, or delivery constraints.
- Most custom terrariums require a settling period before collection, delivery, or shipping. This allows moisture, condensation, plant position, substrate, and the overall system to be checked before handover.
- Terrariums are living systems and will continue to grow, settle, shift, and change over time.
- Natural variation in plant growth, colour, shape, size, leaf markings, moss development, condensation, settling, substrate movement, and ecosystem evolution forms part of the product and does not automatically constitute a defect.
- Minor shifting of moss, substrate, plants, or loose materials may occur during transport.
- The customer is responsible for placing the terrarium in a suitable environment after handover, including correct light, temperature, airflow, watering, ventilation, and protection from direct sun.
- Terrariums must not be placed in harsh direct sun, against hot glass, near heaters, in dark rooms without suitable grow lighting, or directly under strong air-conditioning unless specifically advised.
- Care guidance is provided to support the customer, but long-term outcomes depend on the placement, environment, and ongoing care after handover.
- If a terrarium arrives dead, severely damaged, broken, or materially compromised, the customer must notify The Bottled Garden within 24 hours of delivery or collection with clear photos of the terrarium, vessel, packaging, and delivery label where applicable.
- Claims reported after 24 hours may not qualify for review where the condition may have been affected by placement, unpacking, watering, heat, cold, handling, direct sun, neglect, or customer adjustment after handover.
- Custom terrarium deposits may be non-refundable once sourcing, design work, plant preparation, material purchasing, or build preparation has begun.
- If the customer cancels a custom order after work has started, The Bottled Garden may deduct reasonable costs already incurred, including sourcing, materials, design time, labour, plant preparation, administration, packaging, and other order-specific expenses.
- Once a custom terrarium has been approved, completed, delivered, collected, or dispatched, refunds or changes are not available simply because of a change of mind.
- For local customers, maintenance, refreshing, replanting, or repair support may be available by separate quote, depending on the condition, size, location, and requirements of the terrarium.
- Orders confirmed as ready but not collected within 30 days of readiness notification may incur reasonable care, maintenance, accommodation, or storage charges.
- Refunds, returns, replacements, or credits are handled in accordance with applicable South African consumer protection laws.
